VectorSurv Privacy Policy

This policy is effective as of August 1, 2024

1. About this Policy

At VectorSurv, we understand the value of privacy and are committed to protecting your personal data. This privacy policy describes how VectorSurv collects and uses your personal data.

This policy applies to:

  • VectorSurv Gateway, including all state-specific variants (e.g., CalSurv, UtahSurv, JerseySurv, etc.)
  • VectorSurv Maps
  • VectorSurv OpenData
  • Vectorsurv.org

In this policy, these services are collectively referred to as “VectorSurv” or “VectorSurv applications.”

2. Personal Data Collected

To provide VectorSurv services to you, we collect some personal data. Personal data may mean any data or information that identifies, relates, or describes an individual. This information is grouped into one of three categories: User Information, Agency Information, and Usage Information.

User Information

User Information includes your:

  • Name
  • Email address
  • Agency affiliation
  • Phone number
  • VectorSurv username
  • Encrypted VectorSurv password

Agency Information

Agency Information includes your agency’s:

  • Address
  • Zip code
  • Phone number
  • Email address
  • VectorSurv access tokens

Usage Information

Usage Information includes the following personal data automatically collected to understand user behavior and improve our services: Log data, including internet protocol (IP) address, operating system, device type and version, browser type and version, browser ID, the URL entered and the referring page/campaign, date/time of visit, other user agent string data, the time spent on our Services and web pages, and any errors that may occur during the visit to our Services. Log data may overlap with the other categories of data below.

Analytics data, including the electronic path you take to our services, through our services and when exiting our services, UTM source, as well as your usage and activity on our services, such as the time zone, activity information (first and last active date and time), usage history, as well as the web pages, links, objects, or services with which you interact by viewing, clicking, or other means.

Location data, including general geographic location information we derive from your IP address.

3. How Personal Data are Collected

User information is collected as a part of the account creation process, and the means of collection depends on how the account was created. User information will be collected as a part of an initial onboarding process for each agency. Agency information and information for one or more initial users within each agency is typically submitted from an agency’s representative during initial setup for each new VectorSurv agency. After initial setup, subsequent user accounts may be created by providing additional user information directly in the VectorSurv system by agency managers.

4. Purpose for the Collection of Personal Data

To provide VectorSurv services

We use your information in the operation of VectorSurv applications to:

  • provide content to you and customize content for the needs of you and your agency
  • communicate and interact with you via VectorSurv applications
  • operate and manage VectorSurv applications

We use your information to communicate with you via email or other means about changes to VectorSurv applications, questions about VectorSurv data, or opportunities for collaboration, training, or other events related to VectorSurv.

Google Analytics

We use Google Analytics to recognize you and link the devices you use when you visit our Services on your browser or mobile device, log in to your account on our Services, or otherwise engage with us. We share a unique identifier with Google to facilitate the service. Google Analytics allows us to better understand how our users interact with our Services and to tailor our content to you. 5. Sharing of Personal Data

VectorSurv does not use personal data for any commercial purpose, and we do not sell your personal data to any third parties. We may share personal data for the following purpose:

For compliance with the law.

Personal data may be used and shared, if necessary to comply with lawful government request, or as otherwise required by law.

6. Accessing or Controlling Your Data

After user accounts are created, VectorSurv users can manage their user information, including updating their password, at any time using web pages in the VectorSurv Gateway. Agency information can be updated at any time by each agency’s agency manager(s).

You can access and/or update your user information at any time by visiting your user profile in the VectorSurv Gateway at Settings -> My Account -> Personal Information. You can update your password by using the “I forgot my password” link on the VectorSurv Gateway login page.

Agency Managers within each VectorSurv agency can update agency information by vising the Agency Information page in the VectorSurv Gateway at Settings -> My Agency -> Agency Information.

7. Protecting Your Personal Data

We are committed to protecting your personal data. To protect your data we have incorporated physical, organizational, and technical controls based on the guidelines defined in NIST special publication 800-53 and industry best practices. However, be aware that no system is ever protected completely from malicious attacks or data leaks. We encourage users to follow good cybersecurity practices to protect their information, such as using strong passwords and changing them regularly.

8. Data Retention

We retain the collected user and agency information in order to preserve accurate representations of the individuals and agencies involved in creating or modifying the data in VectorSurv.

9. Use of Cookies

VectorSurv uses cookies only to permit access to VectorSurv applications. We do not provide or use cookies for the purpose of tracking user behavior outside of VectorSurv applications.

We may use (i) cookies or small data files that are stored on an individual’s computer and (ii) other, related technologies, such as web beacons, pixels, embedded scripts, location-identifying technologies, and logging technologies (collectively, “cookies”) to automatically collect this personal data. We may also use this information to distinguish you from other users of our Services. This helps us monitor and analyze how you use and interact with our Services. It also helps us to determine products and services that may be of interest to you.

VectorSurv may include links to third-party websites, plug-ins and applications. Except where we post, link to, or expressly adopt or refer to this Privacy Notice, this Privacy Notice does not apply to, and we are not responsible for, any personal data practices of third-party websites and online services or the practices of other third parties. 11. Changes to Privacy Policy

We may update this Privacy Policy at any time. When we make changes to this Privacy Policy, we will change the effective date in the heading of this Policy. If we make material changes to the Privacy Policy, we will provide notification via email and/or notification to users within VectorSurv applications, or by prominent posting on VectorSurv applications, or through other communication channels. All changes shall be effective from the date of publication unless otherwise indicated.
